Assistant Fleet Administrators/Operations and Communications Center Coordinators
The Steamship Authority is seeking to fill two full-time, permanent, non-union positions of Assistant Fleet Administrator/Operations and Communications Center Coordinator at the Steamship Authority's Administrative Office Building in Falmouth, MA.
The function of this position is to act as dispatcher for manning of vessels in order to crew the vessels with properly certified, endorsed personnel and work with the Operations and Communications Center Manager to ensure up-to-date information is disseminated.
Duties and Responsibilities:
* Assign crew to meet manning requirements of published vessel schedules. Schedule crews for vessels coming on the run or going off the run and for shipyard trips with arrangements for advances and accommodations for same. All scheduling performed according to roster seniority with corresponding union contracts.
* Forward printed information to vessels and internal departments relative to crew personnel movement.
* Compile and prepare letters of time worked/assigned for each vessel employee, when required by USCG for upgrading and recertification.
* Maintain records of assignments, position changes, vacation and leaves taken by each individual vessel employee.
* Prepare and distribute various forms for vessels.
* Maintain vessel roster and update it semi-annually.
* Ensure operation information such as trip delays and cancellations are distributed to both the internal and external users in a timely manner.
* Work with the Communications Director on monitoring and responding to social media issues with regards to the Steamship Authority.
* Promote and support continuous improvement with the SQMS.
* Perform other routine duties as required by supervisor.
Additional Requirements:
Experience preferred; thorough knowledge of union contracts, crew requirements for vessels, terminal and vessel operations; good knowledge of office and business procedures, including use of Microsoft Office programs, specifically Word, Excel, Outlook, and additional internal software programs; requires use of independent judgement within limit of authority; this position is on-call (other than normal workday, when assigned), whose duty is the replacement of crew members to make the vessels sail or other duties as needed. Starting salary will commensurate with experience between $57,100 and $62,000 per year.
